Summary:

The Assistant Stage Manager (ASM) assists the Stage Manager with a wide variety of responsibilities. This can include attending production meetings, running rehearsals, clerical organization, and ensuring the smooth execution of performances.

 

The ASM is part of the management team of the production and sets the example of punctuality and professionalism. The ASM must be flexible and take initiative. Because each production is different, an ASM’s specific responsibilities will change.

Essential Functions:

  • Reasonable accommodations may be made to enable individuals with disabilities to perform these essential functions.

    • Calls all cues for one or more performance per mainstage Company productions, substituting for Stage Manager as needed.
    • Works with Stage Manager to prepare and maintain technical documentation.
    • Responsible for making quick, immediate and discretionary decisions in order to maintain the overall quality and integrity of each production.
    • Serves as Stage Manager for the School of Ballet Arizona Showcases and for Community Engagement Programming.
    • Supervises local union stagehands and non-union over hires at venues or Ballet Arizona facilities as needed.
    • Arrives at performance venues prior to scheduled class time to confirm stage work lights are on, and the stage is ready for Company Class.
    • Coordinates and arranges all presentation bouquets and lobby arrangements for the Ballet Arizona performances.
    • Maintains cleanliness and safety of studio and venue environments (Marley floors, dancer amenities including first aid supplies, etc.).
    • Serves as Youth Coordinator including auditions, rehearsal and performance schedules, costume fittings, parent volunteers for all productions that have student performers in Ballet Arizona productions.
    • Assist Stage Manager and coordinate scheduling and logistics, including communication, for all supernumeraries in Ballet Arizona productions.
    • Assists when needed, the Wardrobe Supervisor and Rehearsal Director to create costume-fitting schedules daily.
    • Coordinates and schedules all students participating as Sugar Plum Fairy’s for the photos taken in the lobby during The Nutcracker.
    • Assist Stage Manager with organizing and maintaining Ballet Arizona media archives (video & audio), including making rehearsal copies, acquiring new source music, transferring formats as necessary, labeling all videos and audio CDs, and editing music for rehearsals/performances, as needed by the Artistic Director or the School Director.
    • Coordinates video tapings and photography in studios.
    • Edits recordings of mixed bill programs into individual ballets.
    • Provides event support as needed for all events taking place in Ballet Arizona facilities, and some events at remote locations.
    • Take company and studio company attendance daily and report to the artistic staff and human resources.
    • Posts rehearsal schedule and production schedule, as needed, on the callboard and website daily.
    • Produce and distribute front of house logistics meeting (BOB) notes.
    • Create and update the backstage access list and provide backstage passes to all staff and groups involved in the production.
    • Organize and distribute downtown garage parking passes to the entire organization.
    • Organize with the Shoe manager and distribute shoe keys to the Company Members.
    • Organize mailboxes of the Company and Studio Company members in the administrative offices.
    • Coordinate distribution of t-shirts for the youth cast in The Nutcracker and the IATSE stagehand crew.
    • Assist Stage Manager to ensure all rehearsal studios have spike marks as needed.
    • Assists the Director of Production and Facility manager with studio repairs and maintenance as needed.
    • Gives clerical support to the Director of Production and Stage Manager as needed.
    • Provides insight into performance of over hires.
    • Performs other related duties as assigned.

Supervisory Responsibilities:

 

This position directly manages IATSE stagehands as needed.

Physical demands:

 

  • Medium physical effort is required – must be able to lift up to 30 pounds.
  • Must be able to climb stairs and ladders.
  • Must be able to twist, turn, bend, and reach and work overhead.
  • Must be able to push and pull heavy objects.

Travel Required:

 

  • Travel to and from external event sites (within Maricopa County) is required.
  • Must be willing and able to commute to and from the office and event/performance sites on a regular basis.
  • Travel may be required for occasional domestic and international touring engagements.

Required Education and Experience:

 

  • High School Diploma or GED
  • 2-4 years of stage management experience with a performing arts organization or venue
  • Working knowledge of all key technical aspects involved with mounting a theatrical production

Preferred Education and Experience:

 

  • Bachelor’s Degree with an emphasis on Technical Theatre or Production preferred
  • Proficiency in Spanish desirable
