Reports to: Director of Philanthropy
Position Summary:
The Philanthropy Events & Volunteer Manager supports Ballet Arizona’s fundraising goals and donor-centric philosophy by leading the planning and execution of philanthropy events, managing the Volunteer Corps and Ballet Barre membership programs, and supporting day-to-day philanthropy operations. This role works cross-functionally with staff across the organization and serves as a visible ambassador of Ballet Arizona to donors, volunteers, corporate partners, and community stakeholders.

Event Management & Coordination:
- Plan, manage, and execute all philanthropy cultivation, stewardship, and special events, including but not limited to:
- Circles of Support events (rehearsal viewings, breakfasts/luncheons, company class viewings)
- Studio Spotlight receptions and Five Arts Circle events
- Prima Circle receptions at Symphony Hall, Orpheum Theatre, and Desert Botanical Garden
- Corporate cultivation and stewardship events
- Legacy for Dance events
- Ballet Barre events (Brews & Ballet, Ballet & Bites)
- Special events such as Fashion & Fizz and the annual Dance With Me Gala
- Volunteer events including Volunteer Orientation and Volunteer Appreciation Day
Volunteer Program Management:
- Serve as primary staff liaison to individual and corporate volunteers.
- Recruit, interview, vet, train, and onboard volunteers for roles across all departments.
- Create, manage, and schedule volunteer opportunities aligned with organizational needs.
- Develop and steward relationships with corporate volunteer groups and partners.
- Track volunteer hours and demographic data to support grant reporting and organizational metrics.
- Lead volunteer orientations, trainings, and engagement opportunities.
- Partner with the Director of Operations to develop, update, and maintain the Volunteer Handbook.
Fundraising & Donor Engagement:
- Manage affinity group portfolios, including Ballet Barre members, Volunteer Corps members, and SBAZ parents, in coordination with the Associate Director of Philanthropy.
- Oversee benefit fulfillment and membership recognition processes.
- Coordinate renewal and acquisition mailings for membership programs.
- Create and manage donor‑facing e‑communications, including acquisition campaigns and quarterly newsletters.
- Strengthen relationships with corporate volunteer partners through cultivation and stewardship activities.
Collaboration & Team Engagement:
- Work collaboratively across Ballet Arizona departments to support organizational priorities.
- Actively participate as a member of the philanthropy team, which includes the Director of Philanthropy, Associate Director of Philanthropy, Corporate & Foundation Manager, Philanthropy Operations Coordinator, Annual Fund Coordinator, and a part‑time grant‑writing contractor.
- Represent Ballet Arizona professionally and enthusiastically to donors, volunteers, patrons, and community partners.
Competencies & Qualifications:

Required:
- Excellent written and verbal communication skills, including public speaking and group facilitation.
- Strong project management skills with the ability to plan, prioritize, and execute multiple initiatives simultaneously.
- High level of digital literacy, including proficiency with Microsoft Office and comfort working in databases.
- Demonstrated integrity, reliability, accountability, and professionalism.
- Strong organizational skills and meticulous attention to detail.
- Ability to work collaboratively in a team‑oriented, high‑performance environment.

Education & Experience:
- Minimum of 2 years of experience coordinating events and managing volunteers.
- Demonstrated success in recruiting, motivating, and managing volunteers.
- Ability to confidently use an integrated fundraising or ticketing database; experience with Tessitura strongly preferred.

Preferred:
- Bachelor’s degree in a related field.
- Spanish language proficiency.
Work Environment & Physical Requirements:
- Primarily office‑based with regular work at external event and partner sites.
- Evening, weekend, and on‑call work required based on event schedules.
- Prolonged periods of sitting and computer use.
- Ability to lift and carry up to 20 pounds.
Travel Requirements:
- Regular travel to event sites within Maricopa County.
- Must be able to reliably commute to the office and external locations.
